POSITION SUMMARY 

The position of FBIS Receptionist & Accounting Assistant is responsible for assisting in the monthly reconciliation and direct bill commission statement entry for all offices. Answering the telephone and determining appropriate direction for business inquiries; performing a variety of routine clerical duties including, but not limited to: greeting visitors and directing them to the proper department; receiving and distributing mail and correspondence; gathering data and compiling various reports for management; photocopying materials; maintaining files; ordering supplies; issuing correspondence; and promoting business for the Insurance Division by maintaining good customer relations.

ESSENTIAL FUNCTIONS 

  • Assist VP of Accounting with data entry and direct bill commission statement entry as well as monthly reconciliations of sub ledger accounts.
  • Download Report Process and distribute to Customer Service Representative's 
  • Answers telephone, routes calls to appropriate individuals, takes and relays messages.
  • Prepares deposits and reconciles draw daily
  • Post all payments to AMS daily and makes sure that all balance back to daily deposits.
  • Assigns company/policies downloaded commission statements  
  • Verifies payment uploads with each company.  
  • Greets visitors and directs them to the proper department or employee. Answers general questions relating to financial institution services or arrange appointments as necessary. 
  • Performs administrative duties, such as filing or routine clerical work, as time permits. 
  • Sorts, screens and distributes mail along with preparing copies and distributing materials. Prepares outgoing mail each day. 
  • Operates computer terminal or personal computer to input and process data. 
  • Assist with office supplies including maintaining inventory and ordering supplies and forms as needed. 
  • Adheres to all levels of our Service Excellence standards. 
  • Completes annual compliance courses.

 

ADDITIONAL RESPONSIBILITIES

Adheres specifically to all corporate policies and procedures.  Also adheres to Federal and State regulations and laws including the Bank Secrecy Act.

Performs additional duties and responsibilities as directed.

GENERAL QUALIFICATIONS

High school diploma or general education degree (GED); or the equivalent combination of education and experience is required. Work related experience should consist of duties in a business environment. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related. 

Physical Demands/Work Environment: Vision, hearing and speech are required. Individuals must have the ability to work with detailed information in a concentrated manner.  

The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. 

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to approximately 25 pounds), carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

The incumbent for this position may operate any or all of the following: telephone, copy and fax machines, adding machine (calculator), typewriter, computer terminal, personal computer and related printers.
