POSITION SUMMARY

The position of Project Management Assistant is a professional individual who assists the Project Management team with project requests and provides services for projects in accordance with the Project Management Office (PMO) Policy.   Throughout the lifecycle of each assigned project, the assistant tracks documentation, project status, provides reports and assists with managing project teams to mitigate issues and risks.

The Project Management Assistant works with both the business community and the technical community on projects in order to assist with prioritization and moving projects forward.

ESSENTIAL FUNCTIONS

  • Assists with scheduling of project teams, meetings and conference calls
  • Compiles meeting notes drafts
  • Creates projects and manages project documentation within the OnBase project repository
  • Works with project documentation within various sites when necessary (InfoNet, Sharefile, etc.)
  • Tracks project tasks and status
  • Provides reports
  • Assists with managing project teams to mitigate issues and risks.
  • Partners with business partners to conduct user acceptance testing
  • Coordinates the project resources.
  • Assists in assessment, development and implementation of new technologies within the company.
  • Ensures that quality service is provided to internal and external customers.
  • Ensures that regulatory requirements are satisfied and company policies are upheld.
  • Completes annual compliance courses.

ADDITIONAL RESPONSIBILITIES

  • Adheres specifically to all corporate policies and procedures.  Also adheres to Federal and State regulations and laws including the Bank Secrecy Act.
  • Performs additional duties and responsibilities as directed.

GENERAL QUALIFICATIONS

Bachelor's degree in business or related field; or the equivalent combination of education and experience. Work related experience should consist of duties in a business environment. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.

  • Several years of branch experience preferred
  • Ability to work remotely when necessary
  • In-depth knowledge of banking operations
  • Involves routine contact with Executive Management, Department Managers, Regional Managers or other members of these teams. It also requires regular contact with vendors involved in current projects.

Physical Demands/Work Environment: Vision, hearing and speech are required. Individuals must have the ability to work with detailed information in a concentrated manner.

The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to approximately 25 pounds), carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

The incumbent for this position may operate any or all of the following: telephone, smart phone, tablet, copy and fax machines, adding machine (calculator), typewriter, computer terminal, personal computer and related printers.
